Title: Task management: Best practices for successful project completion
Post by: JuhiF on Feb 10, 2023, 02:15 AM
Is there an existing task management system that meets the following requirements or do I need to create one from scratch? It would be ideal if it were in PHP for easy installation on a shared hosting platform, but any other language will suffice if necessary.

The task management system should have the following features:

- Each task, which can either be created internally or from a client request (via email or a public form), should be classified according to its intended audience.
- The task can either be visible to all registered users, a particular working group, or specific individuals.
- A task may consist of subtasks and can also be linked to other tasks.
- Files and text/links, such as a Wiki page, can be attached to each task.
- Additional optional features include status designation, start and end times, critical deadlines, specific responsible parties, and anyone who is involved.

Overall, a task management system with these capabilities would be very useful for businesses and organizations looking to streamline their project management processes.

The functionalities you have described are supported by RT (Request Tracker), which allows for creating tickets through email or internal submissions and customizing fields in different formats such as text or drop-down lists for statuses. Furthermore, all the requirements you listed are already integrated into the system and it is also free to use. However, the user-friendliness of the system needs to be improved before it can be considered complete.

Adding more features to RT may be a good way to enhance its usability and overall functionality. Additionally, while the system may not currently be perfect, the fact that it is free to use makes it an appealing option for those in need of a task management solution on a budget.

I highly recommend checking out lighthouseapp.com for its exceptional convenience and intelligent design. Although it is primarily geared towards coding, it can effectively handle various tasks with ease.

Furthermore, the pricing structure of this software is very reasonable, with the cost of even the basic plan being comparable to that of shared hosting. In addition to this, the system boasts an impressive 100% uptime, meaning that you can depend on it to be fully operational at all times.

If you are looking for a comprehensive and reliable software solution to help manage your projects, Lighthouseapp.com is definitely worth considering.

YouGile is a project management system that focuses on communication and is ideal for operational management in fields like construction and production. It has a "Summaries" function that allows users to collect tasks based on various parameters, a chat feature in each task card, mirror columns for easy interaction between departments, and a personal planner with private tasks, favorites, and sorting options.

Boards can be accessed through a link and an unlimited number of users can be invited without registration and with customizable rights. The system also allows for the creation of unique roles and automation of tasks.

Trello is a popular task tracker and planner that is best suited for creative and small teams. It has a function for setting up automation actions under certain conditions, templates for different departments and goals, and integration with email. Trello also features a timeline to track progress of project stages and a visual dashboard to assess task progress and team workload.

Asana is a planning and task management system that is most appropriate for small teams such as web studios, agencies, and marketing departments.

There are several existing task management systems that meet most, if not all, of the requirements you mentioned. Some popular options include:

1. Asana: Asana is a web-based task management tool that allows you to create tasks, assign them to specific users or teams, set due dates, attach files, and collaborate on tasks.

2. Trello: Trello is a visual task management tool that uses boards, lists, and cards to help you organize tasks. You can create tasks, assign them to individuals or teams, add due dates, attachments, and labels, and track the progress of tasks using a kanban-style interface.

3. Jira: Jira is a powerful project management tool that offers extensive task management capabilities. It allows you to create tasks, assign them to specific team members, set due dates, attach files, and link tasks together. Jira also provides advanced features like issue tracking, workflow automation, and reporting.

4. Basecamp: Basecamp is a popular project management tool that includes task management features. You can create tasks, assign them to team members, set due dates, attach files, and track progress. It also offers collaboration features like discussions, messaging, and dоcument sharing.

5. Monday.com: Monday.com is a visual project management tool that allows you to create tasks, assign them to individuals or teams, set due dates, and add attachments. It offers customizable boards and automation features to streamline your task management processes.

6. Wrike: Wrike is a versatile project management tool that offers comprehensive task management capabilities. You can create tasks, assign them to team members, set due dates, create subtasks, and attach files. It also provides features like Gantt charts, time tracking, and collaboration tools.

These task management systems offer a range of features to help businesses and organizations streamline their project management processes. While they may not meet every single requirement you mentioned, they can be customized and extended through integrations and plugins to suit your specific needs.

If you prefer to create a custom task management system from scratch, it is possible to do so using PHP or any other programming language of your choice. However, developing a comprehensive task management system can be time-consuming and require significant technical expertise. It might be more efficient to leverage an existing solution and customize it to fit your requirements.
